Breww stock levels

Why does Breww remove stock from available stock when the order is a draft and no stock has been assigned ? … Doesnt that defeat the purpose of having it as a Draft Order ?

e.g. I put a draft order on for August and 4 Kegs of beer … The customer may increase their order so I left it as a draft… This reduced available stock to Zero … I have another customer who wants 4 Kegs of the same beer delivered Tomorrow… We physically have the 4 Kegs in Stock but I cant assign them because the draft has reduced the stock ?
Please explain why Breww works this way as to me it is a clear ERROR :slight_smile:

Hi Harry, Thanks for your comment. This isn’t an error, and this mechanism is working as expected. The available stock level is calculated as the current in stock quantity minus what has already been ordered for that product (you can find more on this in our Understanding stock levels guide).

In your example, there’s no indication in Breww that you plan to have future stock for this product, and Breww won’t make that assumption automatically. Ignoring this when calculating available stock could lead to overselling. If you did not want draft orders included in the ‘Available’ quantity, then you could deselect the Include draft orders in product quantity allocated to orders checkbox in Settings → Product settings → General product settings.

However, it sounds like you plan to have future stock of the product; if you know that stock will be packaged in the future and want this to be factored in, you could instead use the Planned packaging feature (Planned packagings). This allows you to specify how much stock you plan to package on a future date for a batch, and Breww will then take that into account when orders are raised. This is especially useful when managing pre-orders, which looks to be the case in this example. This is discussed further here: Pre-orders with planned packagings. Just to clarify … If I deselect draft orders in product allocated to orders - in settings … This would resolve the issue …

As a Draft order isnt really an Order its a Draft … And should become an order once stock is assigned … What happens if stock is assigned to a draft order ? will the settings not Allocate that from stock quantity now ?

Hi Harry, Thanks for your reply. Deselecting this option means that outstanding draft orders won’t be considered when calculating the available stock figure. So, in your example, the available stock would still show as 4, even if a draft order exists for that product. It’s also worth noting that stock assignment doesn’t impact this — assigning stock to a draft order won’t change the available stock figure. What does make a difference is the order status. Once an order is marked as Confirmed, it will be included in the calculation, and the available stock would then show as 0 in your scenario. The stock levels are based on what has been ordered, rather than what has been assigned. Let me know if you have any other questions. Cheers!

Perfect that is exactly what I want it to be like … So Draft orders are as they say on the tin … Drafts and only confirmed orders reduce the stock quantity available … :slight_smile:
