A new, quicker flow for creating orders, from anywhere in Breww

Creating orders has had a big update. It now takes you straight to adding products, and you can do it from wherever you are in Breww.

Here’s what’s new:

  • Straight to adding products. Once the order details are in, Breww takes you directly to the product picker. Previously you had to save the order, land on the order page and scroll down past all the details before you could add anything. Read more about creating orders.
  • Create orders from anywhere. Choosing to create an order from the + Add dropdown at the top of every page now opens the flow in a pop-up, so you can raise an order from a customer page, a call list or any other page in Breww without losing your place.
  • Choose draft or confirmed as you go. Each order is saved as a draft or a confirmed order, and a new setting in your Order/invoice settings sets the default for your brewery. A confirmed order needs a delivery or collection scheduled, and Breww tells you before saving if anything is missing. Read more about the default order status.
  • Pick up where you left off. Leave an order part way through and Breww offers to resume it next time you start creating an order, or to discard it.
  • Free sample orders and stock transfers now use the same flow, so they get the two steps, the pop-up and the draft or confirmed choice too. Read more about free sample orders and stock transfers.

Not at all sold on the adding products step, feels too blinkered. Much preferred seeing exactly where a customer was located on the map, adding order notes and selecting different fulfilments sites before adding products.

BIGGEST ISSUE: If you do not have product at the pre-set fulfilment site, you cannot add the product!? If this is here to stay then we need to option to adjsut the fulfliment site on the add products pop-up.

Thanks for the feedback, Luke.

We reviewed some usage data from the old order creation flow, and just over 90% of people immediately scrolled down to the products section of the main order page after creating the order (and started adding products). I appreciate this means that this update might not be helpful for nearly 10% of people, but on balance we’re confident that this is a good improvement.

If you don’t want to add products before seeing the customer map location, that’s still possible - the products step is optional, so you can simply click the Save button to create the “empty” order.

We’ll have a look into this and get back to you. For now, you can move past the products step without adding any products.

We’ve released a couple of minor changes following this feedback. I also thought it would be helpful to explain how the fulfilment site works when creating an order.

The products step only shows a fulfilment site once it’s decided, meaning it’s locked or set by your delivery rules. Otherwise, Breww chooses the site when you save the order, using your fulfilment site settings and what’s on the order. Until the site is locked, Breww may still change it before stock is allocated to the delivery or collection.

Before this update, the products step showed Breww’s early guess at the site, made before any products were added. That made the site look fixed when it wasn’t, which is why we’ve removed it.

Stock levels shown when adding products: the figures cover every site that can fulfil orders, plus any sites linked to the customer. The one exception is a customer set to only use their linked fulfilment sites. For those customers, the figures only include stock at their linked sites.

What you can add: you can add any product, whatever its stock level. If “Prevent over-selling of stock” is enabled in your settings, Breww checks each line against those same stock figures when you save. The order won’t save if a line needs more than is available. When a customer only uses their linked sites and there’s more stock at your other sites, the message now says so and explains how to fulfil the order from another site.

Why the site may have looked like the problem

We suspect the order you were creating was for a customer set to only use their linked fulfilment sites. For those customers, the site shown on the products step was usually one of their linked sites. So when a product had no stock there, it looked as though that site was blocking it. In fact, it’s the customer’s own setting that limits stock to their linked sites. With “Prevent over-selling of stock” enabled, that means the order can’t be saved with that product.

If that’s the case, it only affects customers with that setting enabled. For everyone else, stock across all your fulfilment sites is counted. That’s why we don’t think this is a widespread issue. It also isn’t new: the order page has always counted stock this way. Previously, you might have changed and locked the site on the order page before adding products, which got around it.

To fulfil from a specific site:

  1. Save the order as a draft. You can save it without any products.
  2. On the order page, change the fulfilment site and enable “Lock to this site”.
  3. Add your products. Stock is then checked at that site only.

We’ve decided not to ask for a site on every order. For most orders, letting Breww choose once it knows the products gives a better result. If you often need to choose the site before adding products, please let us know. Examples of when and why would really help.

Hi Luke

We need to have the fulfilment site before adding product as we have different sites. Its seems very long winded we preferred the previous order process. Please change back immediately.

Hey Max, this seems longer/less efficient to us… it feels like an extra step to go to a separate “add product” screen before going to the order itself.

Admittedly we are not used to the new screens & options, but at best it seems like the same amount of work & clicks.

Lot’s of good changes coming lately but this one feels like a case of “if it ain’t broke don’t fix it”

Thanks everyone for the feedback. There are many benefits to the new process, so simply reverting all that good work without better understanding why some people don’t love the new process isn’t the most sensible next step.

Regarding the very long-winded concerns, if you can’t/don’t want to add products during the initial creation, new process is exactly one click longer than the old process. We appreciate that it’s longer, but it should only take a handful of seconds longer than before.

The vast majority of people can add products during the initial creation process and this is now faster and more efficient for them. This change was born out of genuine usage data. If you can’t add products immediately, please can you help us to understand why that’s the case? This will allow us to look at better solutions for you.

This can often be automated, using delivery rules, customer linked sites and other options depending on the situation. If the site is automatically set, this should mean you can add products in the new process (as well as saving you the time it takes to manually set the site first). If you’d like help automating the site selection, please contact the support team and we can help.

In some cases, it might be helpful to for us to understand specific situations, including the customer in question, the products and why you can’t select them during the new order creation form. If you think this is the case, please open a support ticket with the specific examples, so we can look into the best solution.

Thank you.

Hey Luke,

I really like what’s been done to the new order process, it definately speeds things up for me and the team.

One issue, I couldn’t find anything on this thread but you seem to have removed the product line notes. This isn’t a massive problem for me but I wonder why it was removed and if its going to be put back in as a feature at all. It’s quite helpful if I have to note down a change in price or an explanation for the customer.

Thanks

Sean

Thanks, Sean, and we appreciate the positive feedback

The product lines notes do still exist, but you can’t add them during the new order creation process. They can still be added/edited as before from the main order page (after the initial creation).

I can see why it would be helpful to add them while adding products in the new flow and I don’t expect that to be too complicated. We’ll have a look at adding them into the new flow too and let you know.

Ah, yeah I see the order notes and delivery notes bit on the top right but I did mean the individual poduct notes that you could add to each produt line.

There used to be a button next to the ‘Edit Line Item’ pencil.

Sean

It’s still there on the main order page (assuming I’ve understood you correctly):

The order needs to be a draft to see this button, so if you’re creating orders directly to the confirmed status (which wasn’t possible before the new flow), that might be why you’re not seeing it.

Oh! Right! That explains why I can’t see it!

Thanks Luke! I thought I was going mad there for a second!

This update feels clunky and the only feedback I’ve had from our team is that is slows down order processing. Also with multiple sites, we could previously lock the site on the right hand side before scrolling down to enter products. Now, as flagged above, it seems to show all stock if it’s a new customer for example, and that is causing issues with stock being added to orders that is unavailable at that site. Could you please look at adding site selection before products, or better yet reversing the change - if it aint broke don’t fix it. There was nothing wrong with the old order input page.

Thanks for the feedback. We’re looking at adding the option for you to manually choose the fulfilment site on the first step. This will only need to be done, if your account settings won’t pick the correct site for you (otherwise, save yourself a click and let Breww pick it for you).

I’m pleased to confirm that we’ve added a field to the first step of this flow to let you lock in the fulfilment site you want to use. It’s optional and defaults to “Automatic”. If your delivery rules (and any other relevant configuration) are fully set up, you shouldn’t normally need to choose a site manually at all. It doesn’t appear if you only have one site.

We hope this helps those of you who do need to choose a site manually. As I said in my earlier message, if you find yourself choosing a site every time, there may be a way to automate it. If you’re not sure how, our support team will be happy to help.

This is a process many of you follow lots of times a day, so we want to get it right. Please keep the feedback coming, especially if something still slows you down compared with the old flow.

Hi Sean - you can now add line item notes during the new order creation flow, not just after saving it! Thanks again for the feedback, and we hope that helps.
