Allow changing which customer account an order is on after it's been invoiced/finalised/completed

Hi Breww team!
I would like to request to be able to edit invoices/orders after they have been completed.

There are many reasons why in practice an invoice would need to be changed after it has been completed, for example:

  • Price correction – invariably errors do happen when adding items to an order at the wrong price which is sometimes only noticed after delivery has been made. Also price lists from beer companies are sometimes changed and not communicated before orders have been invoiced at the wrong price.
  • Wrong customer account – sometimes one customer may have 2 different accounts and orders need to be changed from one to the other.
  • Wrong invoice details – we have many situations where a customer asks for an invoice to be made out to a different name or address after delivery because of change in ownership or the details not being loaded correctly on the system.

Currently we have to return the stock, void the order and create a new order. At this point we lose the delivery information on the order and the ability to send the customer an invoice with the signed POD showing, as well as losing our internal order log (not to mention the admin time involved in doing all this just to make a price change or whatever). The dispatch date also becomes incorrect on the amended order as we currently cannot change this.

It would be so useful if we could amend an order in Breww after it has been completed in order to change these things. It wouldn’t be a problem to also change it in Xero at this point (a fairly common occurrence for anyone in accounts!) but perhaps a log of changes would be helpful so that the accounts team can see a list of all changes made in order that we can make the necessary adjustments in Xero. It would also be helpful if only certain people could make these changes.

The ability to change the dispatch date when completing an order would also be very useful as, in addition to recreating orders as above, orders are sometimes completed late in error. Being able to choose the dispatch date would ensure we could add the correct information to the order and in turn make our duty return correct.

I understand the need to keep the stock/products as is on the order for duty reasons but if you could make it possible to edit the other details on the order after it has passed the delivery point it would make us VERY happy!

Thank you,
AC

Thanks for the suggestions, AC.

  • You should already be able to change the prices after invoicing. There should be an edit button (“pencil icon”) next to the product row. If you don’t see this, please let us know.
  • Changing customer account, would be possible, but if the invoice has been uploaded to an accounting platform, or payments have been added, this could become very complicated. If we were to allow this to be changed, but only if it hadn’t yet been uploaded to your accounting platform and has no payments associated with it, would this work for you?
  • Delivery/billing address can already be edited after invoicing too. Again, if you don’t see the “edit” button, please let us know.
  • For UK beer duty, you can already move this to a different date if needed. To do this, go to the delivery screen and on the left-hand side (just above the products list) you should be able to move a delivery to a different duty return.

For any of the above things that can already be changed, if the invoice has already been synced to your accounting platform, the changes don’t get synced, so you’d need to replicate these manually.

Do let me know if you’re having trouble with the items that should be editable already, and please do let me know if the “simpler” version of editing customer accounts would work for you? Cheers.

Thanks Luke, so helpful to be able to change the price & invoice details
It would still be great to be able to change the dispatch date so the information on the order is correct, even if the order is completed some days after delivery has been made - possibly a future feature request!
As for changing the customer account it would be great to be able to change it even if the orders have been uploaded to Xero or payments have been applied - we would just remove any payments and make any adjustments in Xero & then reapply the payment… To be honest, most of the requests to change accounts come in after the customer has received the invoice so will already be in Xero by then!
Cheers, AC

Hey AC,

Regarding the delivery date, there is this option in Settings → Delivery settings.

This doesn’t let you manually change the date, but it might mean that going forward, you don’t need to. Can you give this a try and let me know?

Assuming this solves that point, then I think the only part left is changing the customer account. If so, I’ll edit the title of this thread to make it clear to others that this is what this is for and to encourage votes. This isn’t a small change, however, due to the complications with payments and accounting integrations, but we can see what we can do.
