Manual accountancy integrations

This guide covers Breww’s manual accountancy integrations, which is currently only Sage 50 (UK). If you are looking for information on Breww’s automated accountancy integrations, please see Accountancy software integrations.

What’s a manual accountancy integration?

Breww’s manual accountancy integrations allow you to quickly and easily generate a data file in a format and structure that can be easily imported into your accountancy software.

The file will contain data for invoices, credit notes and inventory receipts that haven’t already been exported from Breww, making managing what you have and haven’t been imported to your accountancy software a breeze.

Initial setup

To set up the integration, go to IntegrationsAccountancy page and then click the Set up [software] integration button.

There, you’ll be able to configure a few basic settings, such as which types of data should be synced, optional prefixes for invoice and credit note numbers, etc.

Mapping customers & suppliers

So that Breww can include your accountancy software’s customer/supplier references in the data file, you will need to enter these against each customer and supplier by going to Map customers & suppliers on your accountancy integration dashboard.

On the left side, you will see all your customers and suppliers, and on the right side, the field to enter their customer reference and/or supplier reference.

Chart of accounts (nominal codes)

To define your accounts in Breww, go to the Accounts (nominal codes) tab → Add account (nominal code).

Once they’ve been set up, you can set your default accounts to use under the Default accounts (nominal codes) section of the Settings tab. You can also assign them to customers, customer groups, customer types, products, stock items and stock item types for more fine-grained control of which account to use in the data file Breww generates.

Performing a manual data sync

To start a manual data sync, go to the Data sync tab. Here, you can see all the documents that Breww doesn’t think have been successfully imported into your accountancy software. Click Start data sync.

This will generate the data file that you will need to import into your accountancy software. If you’re not sure how to do this, Breww will display instructions on the page on how to do this for your specific software.

Once the data has been successfully imported, you then need to confirm to Breww that this has been done by clicking the Yes, this file was imported button on the right-hand side. Once done, Breww will record that the included documents have been imported and won’t include them in future data syncs.

If the file wasn’t imported successfully, you can cancel the data sync by clicking No, this file wasn’t imported. This will cancel the data sync process, and the documents included in this file will be included in future data syncs.
