Hey there,
We have two taprooms that “buy” kegs from us at COGs prices. I saw that the recommended way to record product movements to taprooms is to create an invoice, and that is what we plan to do. We would like our VMs to be able to place orders through BREWW. However, we don’t necessarily want to give them full access to “general sales” in the user group settings. “view products” isn’t really enough. I was considering setting up our BREWW trade store for them, but will that incur the 1% service fee?
In our old system, we could assign users within the company (bar managers and sales reps) the ability to raise purchase orders only and then we would fulfill them and invoice. I’m looking for something like that.
I tried looking through the forum, but couldn’t find anything specifically related to this. If you have ideas, advice, or previous posts to point me to I would be grateful!
Cheers
Hi Nick, thanks for your comment. What you have described is correct; by having a Breww trade store setup, your bar managers will be able to request access to your trade store and have the ability to order from your live stock levels. Upon ordering, this will automatically populate your Sales page with the order; you can then process the order as usual, edit this if necessary, and fulfil the order. Yes, any order that goes through the trade store will incur a 1% fee based on the overall order value; e.g. an order for $100 would incur a $1 fee.
As you have suggested, the alternative solution is to create a user group in Breww that contains the ‘General Sales’ permission and have them create a Breww user account; however, this would mean they have access to other customer sales data. I hope this makes sense, but if you have any other questions then please let us know. Cheers!
Thanks for the reply Ben! Is there a set of permissions that only allows a user to see available products and raise an order–but not go any further in the process? This would be useful for our sales team as well as our bar managers as we want the warehouse manager to be the one that chooses what batch and lot numbers to use in the fulfillment of orders and we want accounting to finalize our invoices.
Thanks Jon, It’s close (and probably what I’ll end up doing), but not exactly what I’m after
Ah no, probably not exactly what you want, you really do just need your taproom to “put in an order”, I guess. Some epos systems support the purchase order thing for stock, I think eposnow does. But I don’t know about Breww’s integration with those that do.
Of course, if you’re just selling at cost, Breww’s cut for the trade store option won’t add up to much, and might work out good value, while we’re waiting for a better solution.
I suppose you’d want to minimise the gross value of orders made this way
Hi Nick, thanks for your reply! Currently, a new user group that contains the General sales permission would be the only way to give a user the ability to raise an order in Breww. If they only have this permission, there will be certain restrictions for the user, such as they would not be able to allocate stock to the delivery, add payments or credit notes, but they would be able to invoice the order and see other sales in Breww. We would recommend this permission for your sales team; however, it sounds like the trade store mechanism would be the neatest way to handle orders from the taproom, as this would give the taproom the ability to only raise an order, and they would not be able to allocate stock/batches for fulfilment, so this can be handled by the warehouse team, and accounting could finalise invoices. Let me know if you have any other questions. Cheers!
