When customers make a deposit on a container (or other items in the future) these are put onto our balance sheet as a liability, which we “owe” the customer. If a customer loses a container, we have to issue a journal entry in our financials to move their deposit balance from the liability account to an income account (against the cost of maintaining our keg fleet).

Right now, there is no way to see what a customer’s deposit balance is, and there is no easy way to run a report comparing our balance sheet account to the total deposit balance of all customers. Since Breww is the system of record for this and needs to be reflected properly into Quickbooks, I’d like to have the following to make this process possible:

- Be able to see the deposit amount somewhere on the customer screen (I’m told that Breww has this information), as we charge different deposit amounts to different types of customers
- A report we can run (ideally with an as-of date) to see what the total balance of all customers balances is so we can adjust our liability account in Quickbooks
- And one more nice to have, a report to list all containers marked as “lost” with the customers and balance over a given time period.

Thanks.

I was able to massage the Containers report to create a journal entry that I use to keep my balance sheet correct. Unfortunately, I have discovered an edge case where some customers have a container (usually pre-Breww) that was returned, but the credit memo was not issued.

There doesn’t seem to be any way to find these customers, short of looking at each customer individually. I asked about a way to get this report generated but was told it would need to be a feature request, so I’m adding it on here since it’s part of the more general request to have a proper deposit balance accorded to customers that have containers on site.

Thanks.

Just putting a little update here, as we are doing some accounting planning.

We are realizing that the dashboard shows sales inclusive of deposits and credit notes which have deposits returned, which isn’t really accurate from a P&L perspective. Technically the deposits go into a balance sheet account, as do the credits.

Is there any consideration to getting these amounts out of the P&L? In QB we are reporting things correctly (other than the occasional mismatch between kegs at customers and effective customer balance) but the dashboard implies that there’s a lot more in sales than is real. For example, in September Breww shows our sales as 11% higher than is actually recognized as income.

It also means that when we calculate commissions using Breww reports, we are paying them on the deposits. Technically those are also netted out when the return is done, but if the sales person leaves they end up with an extra 11% of sales commission.

Thoughts on that? Should I move this to a new feature request?

Thanks!

Thanks, David. Yes, this is on the radar, but hasn’t been implemented yet.

There is already a feature request for it at [Add deposits after value in sales orders / exclude them from revenue](https://community.breww.com/t/add-deposits-after-value-in-sales-orders-exclude-them-from-revenue/3930) so if you could vote on that one, that would be great. Thank you.
